Auto-replies and saved replies from Activity

How do I set up automatic replies?

Open Accounts and the account’s autoresponder settings. Opt into automatic replies and select the eligible categories you want to answer. A Live account needs a matching enabled built-in rule and a successful classification that meets that rule’s confidence threshold. The sender must pass the provider’s authentication checks; missing authentication results prevent automatic replies.

Premail skips mailing lists, automated mail, your own address, ambiguous senders, and unattended or no-reply addresses. Gmail and Outlook need send access; reconnect the account if Premail asks for it.

How do I choose my reply message?

Free uses Premail’s standard polite refusal. Pro can save a custom template in the account’s autoresponder settings. The standard message asks the sender to remove you from their distribution list and tells known contacts to use a channel where you have spoken before if the reply was a mistake. Updating Premail preserves custom templates.

Review the saved message before sending it manually: it is a cold-outreach response, not a general acknowledgment or an AI-written reply.

How do I reply to missed cold outreach?

If Premail lets cold outreach into your inbox, click Send auto-reply on its Activity row to send that account’s saved autoresponder message immediately. This works for allowed, labeled, and marked-read messages in Live mode, even when automatic replies are turned off. Free uses the standard Premail message; Pro uses your custom message from the account’s autoresponder settings, if you have saved one.

The row shows “Auto-reply sent” after a successful send. Sending a reply leaves the message in place and does not change its classification or your rules. The same once-per-sender protection, daily limit of 50 replies per account, and no-reply-address checks apply. If send access is missing, reconnect the account in Accounts.

What limits apply to replies?

Automatic and manual replies share a limit of 50 per account per day and once-per-sender protection. A manual click does not bypass these checks. Learning previews cannot send replies.
